How to add an Exchange email account to your iPhone

What you will need

You will need an iPhone, with a date plan. You will also need a Microsoft Exchange account which you will use to connect your iPhone.

The following information is necessary in order to set up your Exchange account:

  • Exchange server address (this will most likely be an OWA address).
  • Username and password for account.
  • Domain name for account.

Step-by-step instructions

These steps are very easy and will walk you through setting up your iPhone with an Exchange account.

  1. You will need to click on the settings icon on the home screen of your iPhone.
  2. Then scroll down just a little and click on the menu item Mail, Contacts, Calendars.

  3. Then press Add Account. It will be below any other accounts you may have already added, such as Gmail and/or Yahoo.

  4. After that you then want to select the Microsoft Exchange option at the top.

  5. Then you will need to fill in the blanks. You will need to know your email address and password for the account you are setting up. also you will need to know the domain and mail server. If you do not know this, ask someone on the technical side of your company/organization who would. At first you will not need the mail server. It will ask once you put in the information below and the account is verified.

  6. Now put in your mail server address in the box that appears.

  7. Once all the information is entered in and correct. You will come to a screen asking you which items you want to sync. You can sync certain items that you want. The three options are Mail, Contacts, and Calendars. So if you only need the mailbox leave the other two turned off.
  8. When you sync your Contacts and Calendars it will ask you if you want to Delete or Keep your existing Contacts or Calendars. Most likely you will want to select Keep on my iPhone. It may produce duplicate entries if you for example, have a co worker in your personal phone book. But he/she is also in your work contacts.
  9. Then press Save and you are all set!

Battery drain warning

If you set up an Exchange account that you know has very heavy traffic, you might want to be careful about setting Automatic (Push); instead, you should set that at a more reasonable Fetch option, such as every 15 or 30 minutes. If you’re not as concerned about your battery (for instance, if you have multiple means of charging your phone), go ahead and Push away!

Multiple accounts

Setting up multiple Exchange Accounts on the iPhone is very easy. Just go back through steps 1-9.

Troubleshooting

It should be very simple to set up these accounts. If you have trouble with this process, the cause is most likely an incorrect address, domain, or password. You will also need to note if your company has a password change policy, because once you change your password on the domain you will need to make sure to update it on your phone. Also be aware when you add Contacts and Calendar items, you can select which Contact group or Calendar group to add it to.
